1. Scope and our roles

This Privacy Policy explains how Sales Pass LLC ("Sales Pass," "we") handles personal information for the SalesPass Kanban website and platform (the "Service"). We act in two distinct roles:

  • As the business (controller) for information about our visitors and customers: signup and account details, billing records, demo and support requests, and Service log data.
  • As a service provider (processor) for "Customer Data" — the repair orders, end-customer records, files, and financial data that our business customers store in their workspaces. We process it only on the customer's instructions under our Data Processing Addendum.

2. Information we collect

Information you provide

  • Signup and account: company name, your name, work email, password (stored only as a salted hash), role, and workspace settings such as branding.
  • Billing: your subscription plan and status. Payments are processed by Stripe; we receive billing identifiers and payment status but never full card numbers.
  • Demo, scheduling, and support: the contact details and messages you submit through our scheduling and support forms (provided by HighLevel/LeadConnector) or by email.

Information collected automatically

  • Service logs: IP address, browser/user-agent, request metadata, and security events (for example sign-ins and privileged support-access audit records).
  • Analytics: we use Google Analytics 4 on our public marketing pages (for example the homepage and signup flow) to measure page views, sign-ups, and button clicks in aggregate. We do not enable analytics on authenticated workspace pages, and we do not send it names, emails, or other Customer Data. See the subprocessors page for details.

3. How we use information

We use personal information only to:

  • provide, operate, and maintain the Service;
  • process payments, provision workspaces, and send setup links;
  • respond to demo, support, and privacy requests;
  • secure the Service, prevent fraud and abuse, and audit privileged access;
  • comply with law and enforce our agreements.

We do not sell personal information, share it for targeted advertising, or use Customer Data to train artificial-intelligence models.

Scheduling and support forms are embedded from HighLevel (LeadConnector), which may set its own cookies or storage. We do not load that content until you choose to enable it, and you can change your choice anytime on the privacy choices page.

5. When we share information

We share personal information only with:

  • Service providers that host and operate the Service on our behalf, listed on our subprocessors page, under contracts that restrict their use of the data;
  • Stripe, which processes payments as an independent business under its own privacy policy;
  • authorities or parties as required by law, to protect rights and safety, or to enforce our agreements; and
  • a successor in a merger, acquisition, or sale of assets, with notice of any ownership change.

We never sell personal information.

6. Data our customers manage

Workspaces contain information that repair businesses store about their own customers, vehicles, insurers, staff pay, and jobs. The business that runs the workspace decides what is collected and how it is used; we process it only to provide the Service. If your information is in a business's workspace, contact that business first — we support their response, and where we receive a request directly we will forward it to the business unless the law requires us to act.

7. Retention

  • Customer Data: kept while the subscription is active. After paid access ends, the business has a 90-day window to request an export; after that window we delete Customer Data from production systems, and it then ages out of encrypted backups.
  • Account, billing, and legal-acceptance records: kept as needed for legal, accounting, and dispute purposes.
  • Privileged support-access audit records: kept for one year, then purged automatically.
  • Demo/support form submissions: kept as long as needed to handle the request and for reasonable follow-up.

8. Security

We use administrative, technical, and physical safeguards appropriate to the data we handle: encrypted transport (TLS), encryption of stored integration credentials (AES-256-GCM), salted password hashing, role-based tenant isolation, mandatory multi-factor authentication for our platform administrators, and audited, time-limited, read-only internal support access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your privacy rights

Depending on your state (including under the Texas Data Privacy and Security Act), you may have the right to know or access the personal information we hold about you, correct it, delete it, obtain a portable copy, or opt out of targeted advertising, sale, or certain profiling — we do not engage in any of those three.

  • How to submit a request: email support@salespass.com from the email address associated with your relationship with us, with the subject "Privacy request." We may ask for information reasonably necessary to verify your identity.
  • Timing: we respond within 45 days, extendable once by a further 45 days with notice.
  • Appeals: if we decline a request, reply to our decision with "Privacy appeal" within a reasonable time. We answer appeals in writing within 60 days. If we deny your appeal, you may contact the Texas Attorney General through the consumer-complaint mechanism on the Attorney General's website.
  • We never discriminate against you for exercising these rights.

10. Children

The Service is for business use by adults. It is not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child provided us personal information, contact us and we will delete it.

11. United States only

The Service is offered in the United States and hosted on U.S. infrastructure. If you access it from elsewhere, you do so on your own initiative and your information will be processed in the United States.

12. Changes to this policy

We may update this policy. Each version carries a version number and effective date; material changes are announced by email or in-app notice before they take effect, and prior versions are available on request.
